What the portal is

The Sage Haven Ward Portal is a private tool the ward's bishopric and organization leaders use to coordinate callings, Sunday meetings, ward council, care for ward members, visits, and appointments. Only people a member of the bishopric has given access can sign in.

Signing in with Google

When you sign in, Google tells the portal your name, email address, and Google account ID, so the portal knows who you are and what you have access to. The portal never sees your Google password.

What the portal keeps

Leaders enter the information the portal holds: names from the ward roster, callings and their progress, meeting agendas and notes, care lists and visits, actions, baptism plans, and appointment requests. It is stored in the portal's database, hosted on Cloudflare, and each leader sees only what their role allows. Changes are recorded in an audit history the bishopric can review.

Google Calendar

The bishopric connects one shared bishopric Google account to the portal. With that account's permission, the portal:

• lists the account's calendars so the bishopric can choose the Bishop and Bishopric calendars;
• checks free and busy times on those calendars, and on personal calendars that members have chosen to share with the bishopric account;
• creates and changes appointment events on the Bishop and Bishopric calendars, and sends a calendar invitation to the person the appointment is with.

The portal doesn't read or change any other Google data. The connection is stored encrypted and can be removed at any time with Disconnect on the portal's Calendars page, or from the Google account's Third-party access settings.

The portal's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

The member program

Once a Sunday's sacrament meeting program is complete, the portal publishes it to an unlisted member page: the ward name, the program with the names of those presiding, conducting, praying and speaking, hymns, announcements the bishopric has approved, and upcoming events from the ward's public calendar. Anyone with the link can open the page without signing in, and it asks search engines not to index it. Nothing else in the portal is on that page. The bishopric shares the link themselves, and can download the same program as a PDF to email to the ward, and can replace the link at any time so the old one stops working.

Sharing

The portal doesn't sell, rent, or share information with anyone outside the ward's leadership, and it shows no advertising. Information leaves the portal only when a leader sends it, for example a calendar invitation or an email they choose to send, and through the member program described above.

Keeping and removing information

Information is kept while it helps the ward's leaders serve. To see what the portal holds about you, or to ask for it to be corrected or removed, contact the Sage Haven Ward bishopric.
